How to schedule Instagram posts with an approval step

On Instagram the image carries the post, so the approval step has to look at the picture as closely as the words. A caption can be perfect and the post still fail because the crop cut off the headline or the carousel is in the wrong order.

This guide covers scheduling Instagram image posts and carousels with a review before each one goes live, the limits any scheduling tool works within, and what to check on the finished post.

The routine, in six steps

1. Start from the image

Decide what the picture shows before writing the caption. For a carousel, sketch the order of the slides: the first slide has to earn the swipe, and the last one should say what to do next.

2. Write a caption that works without the image loading

Put the point in the first line; the feed shows only the start of a caption. Keep hashtags relevant and few, well inside the 30 allowed. Links in Instagram captions are not clickable, so if the post depends on a link, say where to find it, such as the link in your bio.

3. Review the message

Check any names, numbers and prices against the source and remove claims you cannot show. The approval checklist has the full list for this stage.

4. Review the finished post

Look at the post as it will appear in the feed:

  • The crop. Portrait images show larger in the feed than landscape ones. Check that nothing important sits at the edges.
  • Text inside the image. Readable on a phone at feed size, not just on your monitor.
  • Carousel order. Swipe through in order, as a reader will.
  • Alt text. Describe each image for people using screen readers.
  • The account. Several brands under one login look alike. Read the handle.
  • The time. Date, time and timezone.

5. Schedule it

With both reviews done, scheduling is the last step.

6. Check it went out

After the scheduled time, open the post on a phone. Confirm every image arrived, the carousel is in order and the caption is complete. Record the post's URL with the approval.

Carousels need a slide-by-slide review

A carousel is a small document, and reviewers tend to check the first slide and skim the rest. Review each slide as if it were its own post: one point per slide, readable text, consistent style, and nothing on slide six that contradicts slide two. If a carousel has more than a handful of slides, have the reviewer read the slide text in a list first, then check the images, so the argument gets reviewed separately from the design.
